Privacy Policy

What we collect

• Account details. When you sign in with Google or an email link, we receive your name, email address and profile picture.
• Page content. What hosts add to a page: names, occasion, dates, messages, photos, audio, video, and event details such as venue, timeline and dress code.
• Contributions. Wishes, photos, voice notes, videos, reactions and replies that visitors add, along with the name they post under.
• Favorites. When you favorite a page, we save it on your account so it stays on your dashboard and you hear about new posts. The page's hosts see how many people favorited it, never who.
• Guest lists and RSVPs. Names, email addresses and phone numbers a host adds for their guests, and each guest's reply.
• Reminders. The occasions you save as reminders: the person's name, the date and the details you add, such as a greeting note, a department or a company logo. If you add other email addresses to get your reminders, we keep those addresses too.
• Access requests and messages. Your name and email when you ask to view a closed page. The direct messages and photos you send other SocioDex members. A chat can start between people in each other's circle, or between people who have both taken part in a page.
• Credits. The credits on your account, what each one was used for, and any promo codes you redeem.
• Usage and error data. Pages visited, basic device and browser details, and error reports that help us fix problems.

How we use it

• To show memory pages to the people allowed to see them.
• To send the emails you ask for: the reminders you set, before each occasion, and notices such as "your request to view was approved".
• To email the addresses you add to your reminders, once each has confirmed it wants them. An address you add gets one email asking it to confirm, and nothing else until it does.
• To send account holders occasional service notices about SocioDex itself, such as changes to these terms, by email and in their dashboard.
• If you ask for them, to email you news and offers from SocioDex. This is off unless you turn it on.
• To keep the service secure, prevent abuse, and fix bugs.
• To understand how SocioDex is used so we can improve it.

We do not sell your personal information or use page content to advertise to you.

Who can see a page

A Public or Private page can be viewed by anyone who has its link, so anything added there can be seen by them. A Closed page can only be viewed by its host, its admins, people the host approves, and people the host or an admin adds to the page. Hosts decide which setting to use and can moderate or remove contributions.

A page's host or admins can add you to their page by your name. When they do, we let you know in your Activity, note when you first open the page and whether you've posted, and show them that. If they remove you, we don't tell you.

Someone taking part in a page can invite you to it. You'll see the invitation in Activity, with their name. Nobody is told whether you opened it.

Reminders are private to your account. Email addresses you add to your reminders see the full details of every reminder once they confirm. We never email the person a reminder is about.

Circle

You can add a name, a photo, a short line and a handle to your profile. These show to people who can find you, and to anyone who opens your name on a page you've hosted or posted on. Circle never shows your email address or phone number to anyone.

Your photo can be loaded by anyone who has its web address. We only give that address to people who can see your profile.

You choose who can find you in search: people you share a page with, and friends of friends (the default), everyone on SocioDex, or nobody.

We suggest people you've been on pages with, and people you have friends in common with. We only use pages you can both see, and posts that have been approved. We also use whether you've messaged each other, never what the messages say. We don't use your contacts or your location. You can stop being suggested to others with "Show me in Suggested" in Your profile.

When someone opens your profile, they can see how many friends you have in common and up to three of their names, and up to three pages you've both been on.

If you decline a request, remove someone or block them, we never tell them.

We keep a count of how many searches you make, never what you searched for, and one mark for each day you open SocioDex, so we can see how Circle is used.

If you invite someone by email, we send them one email saying you'd like them in your circle. We keep their address only until that email goes out, or for about a week if it can't be sent; after that we keep only a fingerprint of it, so we can match them if they join. If that email bounces or is marked as spam, we keep the address on our do-not-email list, so it isn't emailed again. Anyone can stop these emails with the link in them, and we won't send that address an invitation again.

When someone asks to join your circle, we may email you. We wait 10 minutes first and send at most one Circle email every 3 hours.

Your profile, photo and circle are deleted with your account.

Services that help us run SocioDex

• Supabase: database, sign-in, file storage and live updates.
• Vercel: website hosting.
• Google: sign-in, if you choose it, and the fonts our pages use.
• Cloudflare: the check at sign-in that keeps bots out.
• Resend: sending email.
• Sentry: error reports.
• PostHog: product analytics.

These providers process information only to provide their service to us. Some of them store data outside your country.

How long we keep it

We keep a page and its contributions for 5 years from when it was made, and its host can renew it for longer. After that the page stays online, read only, for one more year, and is then hidden from everyone but its host. If a host deletes a page, they can restore it from Recently deleted for 7 days, or for 30 days if anyone else has added to it. After that we erase the page, its files and its contributions. A deleted page that has been reported is kept until we have looked at the report.

We keep direct messages and their photos while both people's accounts exist. Deleting a chat removes it from your view; once both people have deleted a chat that was accepted, we erase those messages and photos within a few days. If someone writes to you first and you never accept, their messages (at most three, and never photos) stay until one of your accounts is deleted. If someone reports a message, a copy stays with the report for our team, who read chats only when they are reported. Deleting your account deletes your chats.

We keep account details until you ask us to delete your account. We keep a reminder until you delete it, and a record of which reminder emails we sent, without their content, until you delete your account. Backups can take a short time to clear after deletion.

Your choices

• You can edit or delete your own contributions, within the time the page allows.
• You can ask us to access, correct or delete your personal information, including anything a host added about you, such as a guest-list entry.
• You can stop news and offers, or service notices by email, with the unsubscribe link in any of those emails or in your dashboard. Sign-in links and emails about pages you made still come. Reminder emails have their own controls, below.
• Every reminder email has links to stop that reminder or all reminders, and you can turn reminder emails off on your Events page. Someone you added can stop your reminders from any reminder email they get.
• You can turn off emails about unread messages in your dashboard's email settings, or with the link in any of them.
• You can turn off Circle emails in your dashboard's email settings, or with the link in any of them.
• You can withdraw consent to optional analytics by contacting us.

Children

SocioDex is not intended for children under 13. Pages about children should be created by a parent or guardian, who is responsible for what is shared.
